Course Management involves creating course content, setting up assignments and assessments to ensure that learning objectives are met and that students have a positive learning experience.

By providing a broad spectrum of content creation options within our BenchStep LMS, we can effectively accommodate diverse learning styles and preferences, ultimately enriching the overall learning experience on the platform.

Types of Training Content Supported in BenchStep LMS

Step1- Course Categories

Course categories refer to the classification or grouping of courses based on their subject matter, discipline, or topic. 

To view a specific course, select the course category from the drop-down menu and enter the course name and course code in the field. Then, click Search. The status of the selected course will be displayed.

  • To add a new course, click the ADD COURSE button. The COURSE CATEGORIES window will open.
  • Select a course category/subcategory from the drop down menu (or) add a new category/subcategory by clicking the + button.
  • Enter course name and job title in the respected fields. Select Include All Job titles to include all job titles.
  • To save the details, click save. 
  • You can delete the courses using the Delete button.
  • To edit the course categories, click Edit under the action section. This will open the COURSE CATEGORIES pop-up window, where you can edit the courses.
  • To save the details, click save. To skip this page, click Skip. It will proceed to the next page.

Step 2 – Structure Learning Path

A learning path is a predefined sequence or curriculum of educational content, activities, and assessments designed to guide learners through a structured learning journey.

  • To define the learning path of the course for learners, click Define Learning Path.
  • The structured learning path popup window will appear, offering numerous options (from audio to SCORM files) to add during course creation. 
  • Enter the relevant unit title, start date, end date, and pricing based on your selection in the fields provided.
  • You can add the unit description in the unit description dialog box.
  • To add new unit, click ADD NEW UNIT button and fill the required fields. To save the units click Save.
  • Once the unit is successfully saved, these additions will be visible on the right side of the learning path.
  • Audio: You can add audio files using the Audio option. It assists users with managing audio components. Supported formats for adding audio to the course include .mp3, .wav, .wma, and .aac formats for the units.
  • Video: You can add video files using the Video option. The supported formats for video units in the learning path include .flv, .vob, .mp4, .webm, .avi, and .wmv.
  • URL-Link: You also have the option to embed content from external links by inserting the URL of a YouTube video or any other website.
  • Image: You can utilize the Image option to insert images into the course. Supported image formats include .png, .jpg, .jpeg, and .gif.
  • Content: You can present the content in any format within the Learning Path structure.
  • Presentation: To include presentations in the course for reference or study purposes, one can add them to the Learning Path. Supported presentation formats include .pdf, .doc, .docx, .xls, and .xlsx.
  • Feedback: You can utilize the feedback option to configure feedback for your learners. Here, you can handle or manage feedback provided by learners.
  • Assignment: You can create assignments and assign them to the users. users will be aware of upcoming assignments by viewing the learning path. 
    • To create a new assignment, click CREATE NEW ASSIGNMENT.
  • Assessment: Using the assessment option, you can add new assessments into the course for students.
    • To create new assessments, click Create Assessment.
  • Certificate: You can design customized certificates according to your preferences. Users have the flexibility to create new certificates for issuance upon completion of courses.
    • To create a certificate, click Create Certificate.
  • Meeting: You can conduct meetings while taking the course. Additionally, within the learning path, meetings can be created.
  • Webinar: You can conduct webinars by selecting the webinar option. To initiate a new webinar, click the Create Webinar button.
  • SCORM File: you can upload SCORM files in the zip format using the SCORM file option.

Assessments Creation

Assessments refer to the various methods and tools used to evaluate the knowledge, skills, abilities, or understanding of learners in an educational context.

  • To add, delete, or edit assessments assigned to users, click Assessments under the action section.
  • The Manage Assessments pop up page will open.
  • Here, you can search for assessments by selecting the course name and assessment name from the respective drop-down menus. Enter the start date and end date, and then click the Search button.
  • Click the Delete button to delete the assessments.
  • To add a new assessment, click ADD NEW ASSESSMENT. A pop up page will open.
  • Select the course name from the drop-down menu and enter the assessment title, assessment name, start date, end date, total questions, attempts limit, and questions show in their respective fields.
  • You can also upload assessment image using the Upload button.
  • Select the assessment preferences and enter the assessment description and completion message in their respective dialog boxes.
  • Click Publish to view the entered details, and click Close to close the page.

Assignments Creation

Assignments refer to tasks or projects given to learners by instructors as part of their coursework or learning activities.

  • To manage and assign assignments to users, click Assignments under the Action section.
  • The Manage Assignment pop-up page will open.
  • To search for the assignment, select the course name from the drop-down menu, enter the assignment in its respective field, and click the Search button.
  • To add a new assignment, click ADD NEW ASSIGNMENT. The pop-up page will open.
  • Select the course name from the drop-down menu and enter the assignment code, assignment title, assignment name, start date, due date, attempts limit, and questions show in their respective fields.
  • You can also upload assignment image from Choose File option.
  • Select the assignment preferences and enter the assignment description in the Description dialog box.
  • Click Publish to view the entered details, and click Close to close the pop up window.

Learning Management System – User Management

User management refers to the process of administrating and controlling access to resources and functionalities within a system or platform for individual users.

Enroll User in a Course

  • To enroll courses to the users, click Enroll users. The Enroll users pop up page will open.
  • Here, you can select the course name, department name, job title and enrol status from the respective drop-down menu and click Enroll selected.
  • You can also use the Enroll button to enroll users from the list displayed here.
  • To add a new user, click the Add New User tab. A pop up window will open.
  • Enter user ID, user name, email, first name, last name, job title and phone number in the respective fields.
  • You can select role type and department from the respective drop-down menu. You can also change profile picture by using change profile image option.
  • To save all the details, click Save.

Enroll Users in a Course as a Group

To organize your users into groups and allocate one or multiple courses to all members of a group.

Click Courses / Users Groups. The Groups page opens. Here, you can create a new group, add users to the group and assign courses to the group.

  • Add New Group: You can add new group code, group name by clicking the ADD NEW GROUP button.
  • Search: You can search by group code, group name, course name and user name using the Search button.
  • Records per Page: You can select the number of records to be displayed from the Records per page drop-down menu.
  • Total records: The total records refer to the number of entities displayed on the page.

Adding a New Group

  • To add a new group, click the Add New Group tab. A pop up window will open.
  • Type the group code and group name in the respective fields, select the date from the Effective Date field.
  • Select the status from the Status drop-down menu.
  • Type description in the Description text box.
  • To save the details, click Save.
  • To close the pop-up window, click the Close button.

Viewing the Selected Fields

  • The selected group code, group name, course name, user name will be displayed at the bottom of the Groups page.
  • To edit/delete users or courses, click the Edit/Delete option.
  • When you click the Edit option, a pop-up window will appear with the fields for users and course names selected.
  • To view the selected users, click the Users tab. The user’s name, along with the email ID, assigned date of work, enrolled courses, and action status will be displayed.
  • To search for a particular user, you can utilize the search option.
  • To enroll all courses to all users in the group, click the Enroll All tab and select Yes.

Adding a New User to the Group

  • To add a new user to the group, click Add Users tab. The Available Users pop-up window will open.
  • Here, you can search for users by selecting the department and job title from the respective drop-down menu, and clicking the Search button.
  • The respective users’ names will appear. Click the Add to Group tab to add them.
  • To close the pop-up page, click the Close button.

Assigning Courses to the Group

  • To assign courses to the group, click the Courses tab. You can view the available courses in the pop-up window.
  • Click the Assign Courses tab.

The Available Courses pop up window will appear.

  • Select the course and click the Add to Group button. The selected course will be added to the group.
  • To close the pop-up page, click the Close button.
  • To save all the changes, click the Save button.
  • Click Close to exit the edit pop-up screen.

Learning Management System – Course Library

A course library is a collection of educational courses, materials, and resources available within a learning management system.

Our BenchStep LMS includes a course library feature, providing learners with access to diverse learning opportunities. This enables them to explore a wide range of subjects and topics at their own pace. 

  • To view/search for the required courses, click Course Library. The Course Library page opens.
  • Course List: In Course Library, on the left side pane, you can view all the courses listed. These course categories can be expanded to view the sub categories.
  • Course Filter Search area: In the Course Filter Search area, you can do filter search for the required courses.
  • Course Details: Below the Course Filter Search fields, courses are listed with course details such as pricing, category, provider, duration and description.
  • List/Grid View: On the top right corner, you can choose the List/Grid option for viewing the listed courses – either in List view or in Grid view.
  • Filter Mode: You can do filter searching for a course in two ways: Filter by Course Name and Filter by Category.
  • Clear: To erase the searching text, you can click Clear.
  • Course Price bar: While doing the filter search, you can adjust the Price bar to set the required price of the course. You can also use the duration bar while doing the course filter search.
  • Course Duration bar: To check the courses by duration, you can move the bar and choose the course length.
  • Search Page Numbers: Below the Filter Search fields, you can navigate the page numbers. In each page, the courses are listed. Beside the page numbers, a tab displays the total number of pages and the page you are in.
  • Number of Curses per Page View: You can also determine how many courses should be present on a page by selecting your choice from the drop-down list.
  • Sort by Drop-down List: You can also sort the course search by using the Sort by drop-down list.
  • Reset Course: To reset the course search, you can click the Reset tab. Resetting brings the search page to the original status.

Using Course Filter Search

Using Course Filter Search allows users to narrow down their search for specific courses based on various criteria such as subject, level, instructor, or keywords.

  • To view the courses you prefer, type the course name or category in the search field.

The related courses appear in the course list.

  • Click the Clear tab and search again until you find the courses you are searching for.

Learning Management System – Training Calendar

A training calendar is a schedule or timetable that outlines the dates, times, and details of training sessions, workshops, or events. It helps participants and organizers to plan and manage their training activities effectively. To view the ongoing training schedules, click Training Calendar. The training calendar page opens.

Adding a New Event

You can add events to the calendar by clicking on the Add New Event tab.

  • To display the events on the calendar, click Add New Event tab. A pop up screen with various field will open.
  • Type the event title in the Event Title field, select the start date in the Start Date field using the drop-down list. Select the start time and end time in the respective fields.
  • Select the schedule type from the Schedule Type drop-down menu.
  • You can add event description in the Event Description text box.
  • To save the selected fields, click Save.
  • To close the pop-up screen, simply click on the “Close” button.

Inviting Users

You can add users to the training calendar by clicking the Invite User tab.

  • To add users to the training calendar, click Invite Users. The Assign Users pop-up screen will open.
  • From the Event Name drop-down list, select the event name.
  • The Assign Users window will appear. You will find a list of users from which you can select the user(s) you want to add to the training calendar. Select the check box and click the Invite button to invite a user. After selecting the user(s), click the Invite Selected Users tab to add them to the training calendar.
  • By clicking the Disenroll Selected Users tab, you can remove the users from the training calendar.
  • To search for the users, use the Search field.
  • Select a department from the Department drop-down menu.
  • You can display the Invite Status in the Invite Status field.
  • To close the Assign User pop-up screen, click the Close button.

Month/Week/Day

To navigate between calendar views, click on the ‘Day’, ‘Week’, or ‘Month’ tabs located on the top right corner of the page.

Navigation Arrow Buttons

The navigation arrow buttons, located next to the Add New Event tab, enables you to move back and forth through the calendar.

Courses Snapshot

To access the report in course snapshot form, follow the steps below.

  • To view the summarized report of courses, click Snapshot.
  • The Snapshot pop-up page will open. You can access three categories of reports, such as ANALYTICAL REPORT, SUMMARY REPORT and LEARNERS REPORT.
  • To view the course snapshot, click Course Snapshot under Analytical Reports.
  • Select the course from the drop-down menu and click Search.
  • The snapshot for the selected course will be displayed.
  • To view the course access details on a daily, weekly, or monthly basis, click on the ‘Day’, ‘Week’, or ‘Month’ tabs accordingly.

Content Traffic

To access the reports on content activity volume, follow the steps below.

  • To see the number of individuals who have reviewed the course, click Content Traffic. The CONTENT TRAFFIC page will open.
  • Select the course name and click Search. The number of individuals who viewed the course will be displayed.
  • To adjust the number of records displayed per page, select the desired value from the Records per Page drop-down menu.

Most Accessed Content

To access the reports on content viewed the most by users, follow the steps below.

  • To view the most accessed content, click MOST ACCESSED CONTENT.
  • The most accessed content title will be displayed in the list.

Course Unit Access (By Days)

To view reports on course access over a period of time, follow the steps below.

  • If you want to know the number of days user has access for the courses, click Course Unit Access (by days).
  • The course unit access page will open. You can see the course name and user access details.
  • To download the course access details in excel and PDF format, click EXCEL and PDF. To print the course access details, click PRINT.

Course Training Status

To access reports on the current progress of users, follow the steps below.

  • If you want to know the training status of the user, click Course Training Status.
  • Course Training Status page will select the course name and department name from the respective drop-down menu. Click Search.
  • The training status of the selected user will be displayed.

Learning Path

To access reports on the sequence of courses for users, follow the steps below.

  • If you want to know the status of the learning path of a course for your users, click Learning Path.
  • The learning path page will open. Select the user name, course name course component from the respective drop-down menu and click Search.
  • Learning path of course along with the user name will be displayed.
  • To download the report in CSV, excel or PDF format, click EXCEL or PDF respectively. To copy the report, click COPY. To print the report, click PRINT.

Learner course status

To access reports of user course activities, follow the steps below.

  • To know the course status of the learner, click Learner Course Status.
  • The LEARNER COURSE STATUS page will open. Select course name, status, department from their drop-down menu and enter user name, from date, to date in their respective fields and click Search.
  • Learner course status of the users will be displayed. If you want to know the summary details of a user, click Details.

User Course Overview

To access reports of user overview within a course, follow the steps below.

  • User Course Summary page will open. Course summary details of the selected user will be displayed.
  • Click Back to User Status button to navigate to the learner course status page.

Course completion status

To access reports of user course completion status, follow the steps below.

  • Click Course Completion Status.
  • COURSE COMPLETION STATUS page will open. Select course name, user name, department name from their drop-down menu and enter from date, to date and course status in their respective fields and click search.
  • If the user did not complete the course, you can send a remainder Email, by clicking the Send Reminder Email tab.
  • To download the report in excel or PDF format, click EXCEL or PDF respectively. To print the report, click Print.

Detailed training report

To access the training reports, follow the steps below.

  • Click Detailed Training Report.
  • DETAILED TRAINING REPORT page will open. Select category, department, course name, user name, course status from their drop-down menu and click Generate Report.
  • The detailed training report of the selected user will be displayed.
  • To download the report in excel or PDF format, click EXCEL or PDF respectively. To print the report, click PRINT.

Course Summary

To access course overview reports, follow the steps below.

  • Click Course Summary. The COURSE SUMMARY page will open with course summary details.
  • To download the report in excel or PDF format, click EXCEL or PDF respectively. To print the report, click PRINT.

By Courses List

To access reports in a list of courses, follow the steps below.

  • Click List of Courses. The COURSE LIST page will then open.
  • To download the report in excel or PDF format, click EXCEL or PDF respectively. To print the report, click PRINT.

By Courses Expiring – Next 30 days

To access reports for courses whose expiration dates have passed, follow the steps below.

  • Click on Courses Expiring – Next 30days. The Expiring Courses page will open, where you can see the course expiry date, start date, course name, and categories.
  • To download the report in excel or PDF format, click EXCEL or PDF respectively. To print the report, click PRINT.

By Course SCORM Details

To access reports providing an overview of courses containing SCORM content, follow the steps below.

  • Click on Course SCORM Details. The COURSE SCORM DETAILS page will open, displaying SCORM title details along with the course name, component title, slide numbers, duration, start date, and end date.
  • If you want to view the report in excel or PDF format, click excel or PDF respectively. To print the report, click print.

Support Summary

To access reports that offer a brief overview of courses, follow the steps below

  • Click Support Summary. The QUERY SUMMARY page will open.
  • Enter the required details and click Save.

Payment report

To access reports containing detailed information regarding financial transactions, follow the steps below.

  • Click Payment Report. The PAYMENT REPORT page will open.
  • Select the user name and course name from the respective drop-down menu.
  • The payment details for selected user name and course will be displayed.
  • To download the Payment details in excel or PDF format, click EXCEL or PDF respectively. To print the payment details, click PRINT.

Assignment Summary

To access reports containing an overview of assignments, follow the steps below.

  • Click Assignment Summary.
  • The ASSIGNMENT SUMMARY page will open. Select Assignment Name and Time Range from the respective fields and click Search.
  • The assignment summary details for the selected fields will be displayed.

Learner compliance

To access reports containing training curriculum or policies for users, follow the steps below.

  • Click Learner compliance, LEARNER COMPLAINCE page will open.
  • Select the user name from the drop-down menu and click Search. The compliance details for the selected user name will be displayed.
  • To download the compliance details in excel or PDF format, click EXCEL or PDF respectively. To print the payment details, click PRINT.

Course wise Learner Log

To access reports containing records of learner activities within courses, follow the steps below.

  • Click course wise learner log. COURSEWISE LEARNER LOG page will open.
  • Select course code, status, department from the drop- down menu. Enter From Date, To Date, User Name, and Course Name in the respective fields and click Search.
  • User details for the selected course, along with course access details, will be displayed.
  • To download course wise learner details in excel or PDF format, click EXCEL or PDF respectively. To print the payment details, click PRINT.

Learner Registration

To access reports containing records of learners enrolled in a course, follow the steps below.

  • Click Learner Registrations.
  • The LEARNER REGISTRATION page will open. Enter From Date and To Date in their fields and click Search.
  • The registration details for the entered dates will be displayed.
  • To download the learner registration in Excel, PDF format click Excel and PDF respectively. To print the Learner Registration details click Print.

Learner Login Count

To access reports on login counts of the users, follow the steps below.

  • To know how many times the user has logged into the course, click Learner Login Count Details.
  • The USER LOGIN COUNT page will open. Enter From Date and To Date in the respective fields and click Search.
  • The login count details for the entered dates will be displayed.
  • To download the login count details in Excel, PDF format click Excel and PDF respectively. To print the login count details click PRINT.

Learner login history

To access reports on login history of the users, follow the steps below.

  • Click Learner Login History.
  • The USER LOGIN HISTORY page will open. Enter from date and to date in their fields and click Search.
  • The login history of the users for the entered dates will be displayed.

To manage all courses from a single location, click Manage Courses. The Manage Courses page opens.

Course Name and Category: Courses enrolled by the student will be divided and shown based on the category.

Action: In the Action section, modifications and additional options can be made available for the courses.

  • Edit: By using the Edit option, you can edit the course name and add or remove the course categories.
  • Defining learning path: This will help define the learning path of the course for your learners.
  • Enroll Users: To enroll all courses to all users, click Enrol Users.

  • Course Snapshot: The Course Snapshot column displays reports summarizing the course’s current status.
  • Copypermalink: By using COPYPERMALINK, you can directly send the course link to users via email or messages, allowing them to access the course directly without navigating to the dashboard.

Learning Management System – Manage Feedback

Manage feedback involves the process of collecting, analyzing, and responding to feedback provided by users, clients, or stakeholders.

  • To add or delete feedback provided by users, click Manage feedback under the Action section.
  • The manage feedback page will open.
  • To search for the feedback, select the course name and feedback type from the drop-down menu, enter the Start Date and End Date in its respective field, and click the “Search” button.
  • Click the Delete button to delete the assessments.
  • To add a feedback, click ADD NEW FEEDBACK. The pop-up page will open with the instructions.
  • Select the course name from the drop-down menu and enter the feedback code, feedback name, start date, due date, and active status in their respective fields.
  • Enter the Feedback description in the Description dialog box.

Managing certificates involves overseeing the issuance, distribution and tracking of certificates awarded to individuals upon completion of a course or training program.

  • To edit or customize certificate, click Certificate under the Actions section.
  • The Manage Certificate pop up page will open.
  • Enter the course name and certificate name. Then select the options for “Enable Certificate,” “Certificate Duration,” and “Certificate Provider” from their respective dropdown menus.
  • You can also customize the certificate background, certificate provider logo, and course provider logo.
  • To save all the details, click Save.
